Southsea Laser Academy Attendance Policy
The Centre is committed to providing a fair and inclusive learning environment, and attendance is a key part of this. Students are expected to honour this commitment. Regular and punctual attendance is essential for the learning process.
Arrival Times: Students must arrive at the timings stated in the course confirmation email for a prompt start.
Sign-In: Students will sign in upon arrival within the scheduled time.
Late Arrivals: Students who arrive late will miss valuable information that may not be repeated, potentially affecting assessments and their ability to meet the learning outcomes.
Pre-Study: Students are encouraged to study the theory before attending the course.
Post-Training Theory: Students who do not complete the theory before attendance will be required to finish it after practical training.
Practical Sessions: Students who miss practical sessions will not be permitted to take part in related practical treatments until the tutor demonstrates it. The tutor will decide when these sessions will be offered, which may involve waiting until the next cohort starts.
Late Arrivals (30+ Minutes): Students arriving more than 30 minutes late will not be permitted to join the session unless they have contacted the tutor and notified them of their lateness.
Repeat Late Arrivals: Students who arrive late more than twice will have a 1:1 meeting with the tutor to provide valid reasons for their lateness. If concerns arise about ongoing disruption due to lateness, the student may be removed from the course. Any payments made will NOT be refunded.
Health-Related Absences: Students who miss days due to illness or emergencies will be allowed to attend the missed sessions with the next cohort.
Course Delay: If the course is not completed within 12 months of registration due to lateness or absence, the student will need to pay a re-registration fee of £150 plus any additional teaching costs to complete the course and receive their certificate.
Southsea Laser Academy Cancellation Policy
Your Right to Cancel
Under the 2015 Consumer Rights Act, you have the right to cancel your agreement with us within 14 days. The cancellation period starts on the day the payment is made. After course materials are sent, the right to cancel no longer applies.
To cancel, you must inform us in writing (email) within 14 days of payment or before we send out course materials.
Upon cancellation within the 14-day period, we will reimburse payments made or transfer the credit to another course, if applicable. Reimbursement will be made within 21 days.
Effects of Cancellation
If cancellation occurs before the course begins, you will receive a full refund or credit transfer.
If you attend the training within the 14-day period, no refund will be issued, as the course has been delivered.
Complaints Policy
The Centre is committed to providing exceptional service and learning experiences. If something goes wrong, we want to hear about it to improve our standards.
How to Complain
Initial Step: Raise the complaint with the Tutor. If unresolved, the course coordinator will assist.
Formal Complaint: If unsatisfied, submit the complaint in writing to the Internal Verifier.
What Happens Next?
The Internal Verifier acknowledges receipt of the complaint within 5 working days.
The Internal Verifier investigates and provides a written response with suggestions for resolution within 10 working days.
Southsea Laser Academy Exams Policy
The VTCT Centre Exams Policy ensures that the exam process is fair, transparent, and secure for all learners. This policy outlines the procedures and expectations for the Level 3 Anatomy and Physiology exams.
Eligibility: Learners must meet entry requirements before sitting exams.
Exam Day Requirements: Learners must arrive on time, bring ID, and follow rules regarding materials and conduct.
Late Arrivals: If learners are late, they must notify the centre. If they arrive more than 30 minutes late, they will not be allowed to join the session.
Conduct: Learners must uphold integrity during exams, with any malpractice resulting in penalties.
Results and Feedback: Results will be provided within 30 minutes upon finishing the exam, with the option to request feedback.
Special Considerations: Learners requiring accommodations should request them 6 weeks before the exam.
Malpractice: Any instance of malpractice (cheating, plagiarism) will be thoroughly investigated, with possible consequences such as disqualification or resitting the exam.
Appeals: Learners can appeal exam results or conduct within 10 working days.

Definition of Malpractice
Malpractice includes any activity that undermines the integrity of the exam process. This includes cheating, plagiarism, impersonation, or any unauthorized actions during assessments.
Procedure in the Event of Malpractice
Immediate Reporting: Any suspected malpractice should be reported immediately to the Centre Coordinator.
Investigation: A fair investigation will be conducted, gathering evidence, and interviewing relevant parties.
Consequences: Depending on the severity, actions may include resitting the exam, disqualification, or revocation of certification.
Appeals: Learners can appeal the malpractice findings if they feel the investigation was unfair, following the centre’s formal appeal procedure.
